You Don't Start From a Blank Page

Most property managers I know have their SOPs in their head, or half-written in a Google Doc nobody opens, or living inside one person who's been there twelve years. When you try to hand that to an AI agent, the first wall you hit is the blank page. What does the workflow actually look like, step by step, and where does a human have to sign off?

So I built the steps out first, from my own shop. The system ships with 48 pre-built PM workflows, and they cover the whole lifecycle, not just the easy parts.

Leasing and turns is the biggest block, around fifteen of them: application screening and move-in, lease drafting, renewal prefill, the AppFolio renewal holdover case, move-in and move-out inspections, deposit disposition, turnover make-ready, the utility flip on a vacancy. Maintenance has its own set: after-hours emergencies, recurring preventive, the repair-vs-replace call on an appliance, work-order closeout. Then owner and property (onboarding, monthly statement QA, the owner decision flow), money and collections (trust accounting, AP, 1099s, the delinquency ladder, NSF handling), vendor management (COI verification, dispatch, performance), and the legal side (eviction process, HOA, habitability).

Here's the part that matters. These are a starting point, not a straitjacket. Your late-fee threshold isn't mine. Your vendor list, your renewal window, the way you talk to a resident who's forty days out, all of that is yours. Every workflow is built to be edited to how your shop actually runs. You keep the skeleton and change the rules.

The safety is built in from the start, not bolted on after. Anything that touches money, a lease, an eviction filing, or a deposit is human-gated by default. The agent does the legwork, pulls the numbers, drafts the notice, lines up the vendor, and then stops and waits for you before anything goes out the door or hits an owner's ledger. You decide where that line sits.

And you can see each one. It's not a black box that spits out an answer. You can walk an owner through the exact steps their property runs on, or hand a new hire the make-ready workflow and have them follow it on day one instead of shadowing someone for a month.

I want to be straight about where these came from. I didn't write them from theory or from a webinar. They came out of running about 420 doors, from the work my own agents do every day. Some of them I rebuilt three or four times because the first version missed how the job actually goes.
